Courier services for companies: invoicing, VAT and business accounts
Per-job or monthly invoicing, VAT recovery, cost centres, accounting records: how to organise a company’s courier jobs without drowning the finance team.
A company ordering three jobs a month can pay by card each time. At thirty jobs a month, that becomes an accounting problem: thirty entries, thirty receipts to reconcile, and no view of the real cost per team or per client.
Per-job or monthly invoicing
Every job produces a compliant PDF invoice, with 20% VAT, sent by email. That is enough for occasional use and requires no formalities.
A Business account adds the consolidated monthly invoice: one invoice at month end covering every job in the period, itemised. One payment, one entry, immediate reconciliation.
VAT is recoverable — provided you hold the invoice
Transport services carry French VAT at the standard 20% rate. A VAT-registered business recovers it normally, provided it holds a proper invoice in its own name: company name, address, VAT number and the tax shown separately.
That is exactly what is missing when an employee pays for a job on a personal card and brings back a receipt made out to an individual. A Business account removes the problem: invoices are issued directly to the company.
Cost centres: knowing who spends what
A Business account lets you attach every job to a team, a client or a matter, and export the lot. You then know what the logistics of a studio, a practice or an after-sales desk really costs — and you can rebill it.
This is often the moment a company discovers that half its jobs go out as Super Express when Standard, or even Eco, would have done.
Several requesters, one invoice
A Business account groups several users under the same billing entity, each with their own credentials. The executive assistant, the studio and the shop order separately; everything lands on the same monthly invoice.
Nobody needs to know a card number, and no expense claims are involved.
Regular volume: ask for a rate card
Above a certain volume, a rate card matched to your usual routes is offered. Describe your flows in the Business form: jobs per month, recurring routes, sizes carried.
For volumes that justify it, an integration with your systems lets you create jobs from your own tools and pull statuses back, with no re-keying.
What to keep for the accounts
- The invoice, per job or monthly, in the company’s name.
- The export of the period’s jobs, for reconciliation.
- Proof of delivery for sensitive shipments, kept with the job.
Something to send?
Enter both addresses: a firm price appears before you commit, and the job leaves straight away.
